ABOUT THE ROLE We're looking for an experienced Litigation Legal Assistant to join a fast-paced law firm team in Downtown Nashville. In this role, you'll provide specialized administrative and secretarial support to attorneys — managing a high volume of time-sensitive documents, deadlines, and client interactions with precision and professionalism. This is a contract position (4+ months) based fully onsite, five days a week.
WHAT YOU'LL DO • Prepare and manage legal documents including pleadings notebooks, correspondence, motions, and exhibits; accurately file court documents electronically and in hard copy following all court-specific requirements. • Maintain attorney calendars, calculate deadlines, coordinate depositions including scheduling court reporters and setting up meeting rooms, and ensure all critical dates are tracked and followed up on. • Interact professionally with clients, court personnel, government agencies, banks, title companies, and other law offices; manage incoming and outgoing mail, faxes, packages, certified mail, and overnight deliveries. • Utilize document management systems with standard naming conventions; assist with billing familiarity and time entry requirements for assigned attorneys; prepare expense reports. • Open new files following standard office procedures; open, scan, and route incoming mail into the firm's case management system. • Answer telephone calls and take messages; assist legal and non-legal personnel as requested; work with runners to ensure timely filings and hand deliveries. • Anticipate attorney needs and master skills specific to assigned attorneys' workflows and preferences.
WHAT WE'RE LOOKING FOR • 3+ years of litigation experience gained within a law firm setting (candidates from personal injury, med mal, or medical malpractice firms are not applicable for this role). • Solid knowledge of legal terminology, federal and state court rules, and e-filing procedures. • Proficiency in Microsoft Office (Word, Excel, PowerPoint); ability to operate basic office equipment (copier, fax, printer, scanner) and conduct internet research. • Strong proofreading skills with excellent grammar, spelling, and punctuation; exceptional attention to detail and organizational ability. • Effective oral and written communication skills; ability to interact with clients, court personnel, and the public in a knowledgeable and courteous manner. • Ability to maintain confidentiality and manage a complex, high-volume workload in a fast-paced environment. • Must be able to reliably commute to Downtown Nashville (37203) five days per week. • Ability to occasionally lift large boxes and/or files. • High school diploma or equivalent required.
NICE TO HAVE • Associate degree or Legal Secretary Certificate. • Familiarity with litigation management software systems.
